JOB DESCRIPTION Position: Front Desk Receptionist Department:Administration Reports to: HR Summary of Position: Ideal candidate needs have a style and enthusiasm that embodies the cutting edge technology RTT presents. This person is the first impression of RTT USA. Exceptional interpersonal skills are a must since every department will be relying on them. Receptionist needs to accept ownership of position even when outside of office. Greet customers in a friendly manner and ensure high quality customer service. Job Responsibilities: • Ensure that all calls and visitors are routed appropriately and in a positive manner • Coordinate daily mail including special pick-ups and deliveries and prepare outgoing packages for shipment • Keep reception, kitchen, conference rooms and general office areas neat and presentable • Book and traffic manage conference rooms. • Assist leadership staff by coordinating meetings, conferences, maintaining daily calendars and arranging travel • Scan documents – for faxing and to assist staff with special requests • Faxing – Maintain Efax system • Maintain Phone System • Greeting Client, Guests, Attend to clients/guests needs- beverage; make coffee, coat, restrooms, copies, scanning faxing. • Stocking Beverage Coolers when needed. • Kitchens – Check 2nd & 3rd floor twice a day for cleanness- begin & end of day • Human Resources – assist HR as needed • Accounting – assist accounting as needed • Special Events – Ordering client, staff and client lunch meals – Dining set-up – Appropriate clearing – Assist CEO when needed Skills Necessary: • Excellent customer service skills. • Excellent organizational skills. • Effective interpersonal skills. • Experience in handling multiple phone lines. • Professional voice on phone • Professional demeanor • Approachable • Peach Tree experience is a plus • Multi-Phone line experience • Can work in a fast pace environment • Experience as a receptionist 2 years + • Accounting experience or background is a plus • Must be well spoken, organized, polite, and extremely customer service oriented. • Computer proficiency (Excel, Word) and the ability to do spreadsheets and related office experience is a preferred. • A positive attitude and willingness to support the operations of the office • Excellent verbal and written communication skills • Strong sense of professionalism and maturity including the ability to respect the confidentiality of sensitive information • Working knowledge of office equipment, including phone systems, copiers, fax machines, scanning. • Ability to handle multiple assignments If you have the skills above and take charge attitude, then we want to talk to you!
